Missed-call cost calculator
Enter how many calls you miss in a week, how many of those callers would have booked, your close rate and what a customer is worth. The calculator multiplies them out and shows the revenue at risk each month and each year, with every step of the math. It runs in your browser and sends nothing anywhere.
Revenue at risk each month
Each year
The math
- Bookings a week: 5 missed calls × 40% who would book = 2
- New customers a week: 2 × 50% close rate = 1
- Revenue at risk a week: 1 × $300 = $300
- Each month: $300 × 52 weeks ÷ 12 months = $1,300
- Each year: $300 × 52 weeks = $15,600
The starting numbers are an example, not an industry average. Put in your own.

Missed-call text back $49 a month + $299 setup
When a call goes unanswered, the caller gets a text right away, so the lead does not go cold while you are with a customer. Replies land in Assure CRM, where your team picks them up. It runs inside Assure CRM ($97 a month after a 30-day free trial).
Missed-call text back is $49 a month plus $299 setup: $887 in the first year. At $300 per customer, the service pays for its first year if it wins back 3 of the 52 customers this math says you miss in a year.
How the math works
Four numbers, multiplied.
Revenue at risk = missed calls a week × share who would have booked × close rate × average customer value. That gives a weekly number. A month is 52 weeks divided by 12, about 4.33 weeks, and a year is 52 weeks.
With the example numbers: 5 × 40% × 50% × $300 = $300 a week, $1,300 a month and $15,600 a year. Each missed call carries $60 of revenue at risk.
It is an estimate of revenue at risk, not a forecast. Some callers try again later and some were never going to buy. That is why the calculator asks for the share who would have booked instead of counting every call as a sale.
Your numbers
Where to find each number.
Missed calls a week
Your phone system or phone company lists missed and unanswered calls. Pick a normal week, not a holiday, and count calls that nobody answered or returned the same day.
Share who would have booked
Listen to the voicemails and check the numbers against your customer list. Count the callers who were new and asking about an appointment, a price or a visit.
Close rate
Compare last month's bookings or estimates in your calendar or CRM with the jobs that were paid.
Average customer value
Take last month's revenue from new customers and divide it by the number of new customers. If customers come back for years, a year of visits is a fair number too.
